Last updated: 30 October 2026
This policy explains how Trimax Consultants Limited collects and uses personal information when you visit this website, send us an enquiry, or work with us. We are committed to handling your information fairly and in line with UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Trimax Consultants Limited is the controller of your personal information. We are registered in England and Wales, company number 16015588, and our registered office is Flat E, 10 Newton Street, Shortstown, Bedford, Bedfordshire, MK42 0UQ.
If you have any questions about this policy or how we use your information, contact us:

The information we collect
When you send an enquiry through our website, we collect the details you enter in the form: your name, organisation, email address, phone number, the service you are interested in, and anything you tell us about the building.
When you contact us by email or phone, we keep a record of the correspondence and any details you give us.
When we carry out work for you, we collect the information needed to deliver it, such as contact details for you and anyone who arranges site access, the address and details of the building, and invoicing information. Fire risk assessments and fire door inspections may also involve recording information about the building and how it is managed, including photographs. We take care not to photograph people.
We do not ask for, and do not want, sensitive personal information through our enquiry form. Please do not include details about residents' health or personal circumstances in an enquiry. Where this kind of information is relevant to an assessment, such as a resident who may need help to evacuate, we will agree with you how it is shared and protected.
How we use your information and our lawful basis
- To reply to your enquiry and prepare a quote. This is necessary to take steps at your request before entering into a contract, or is in our legitimate interests in responding to people who contact us.
- To deliver the work you have asked for, including site visits, reports and follow-up advice. This is necessary to perform our contract with you or your organisation.
- To invoice, keep accounts and meet our legal obligations, such as tax and company record-keeping. This is necessary to comply with the law.
- To keep records of our work so that we can answer questions about it later and deal with any claims. This is in our legitimate interests.
We do not use your information for marketing mailing lists, we do not sell it, and we do not use it for automated decision-making.
Who we share it with
We only share your information where it is needed to run our business or deliver the work:
- Netlify, which hosts this website and receives enquiry form submissions on our behalf.
- Google, which provides our business email (Google Workspace). This website also loads its fonts from Google Fonts, which means your browser connects to Google's servers and shares your IP address with Google when you visit.
- Consultants who work with us, where they carry out or review work for you. They are bound by confidentiality.
- Our accountant and professional advisers, where needed for accounts, tax or legal advice.
- Regulators, enforcing authorities or the courts, if we are legally required to.
Some of these providers may process information outside the UK, including in the United States. Where that happens, we rely on the safeguards that UK data protection law requires for international transfers.
How long we keep it
- Enquiries that do not lead to any work: up to 12 months from our last contact with you.
- Client records, reports and correspondence: six years after the work is completed, to meet our legal, tax and insurance obligations.
After these periods we delete or securely destroy the information, unless we need to keep it for longer to deal with a claim or a legal requirement.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information, where we no longer have a reason to keep it;
- ask us to restrict how we use your information, or object to us using it on the basis of legitimate interests;
- ask for information you gave us to be transferred to another organisation, where this applies.
To make a request, email or call us using the details above. We will respond within one month. There is normally no charge.
Cookies
This website does not use cookies for advertising, tracking or analytics. If we add analytics in future, we will update this policy and ask for your consent where the law requires it.
Keeping your information secure
We use secure, access-controlled systems for email and file storage, and we limit access to the people who need it to do their work.
Complaints
If you are unhappy with how we have handled your information, please contact us first so that we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection: ico.org.uk/make-a-complaint, or call 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last changed.
